The Community Events Coordinator will support AZPM events, including with community members, volunteers, vendors, and staff. They will coordinate fundraising and community engagement events as well as marketing, educational, and promotional-centered events. A successful candidate will oversee complex logistical details, provide customer support, and monitor event data and transactions, which may include managing the budget and promotional materials and helping to secure event funding.

Duties & Responsibilities |
1. Event Planning & Logistics Management
- Plan, develop, and coordinate logistics for Arizona Public Media (AZPM) events and activities.
- Serve as the primary liaison between AZPM and community programs, research initiatives, and external partners.
- Secure resources for events, including venues, vendors, promotional materials, signage, staff, and volunteers.
- Manage day-to-day operational demands and resolve logistical challenges to ensure successful event execution.
2. Event Operations & Customer Engagement
- Process event-related transactions and maintain accurate financial records.
- Collect and analyze data to evaluate the effectiveness of events, programs, and community impact.
- Manage on-site event logistics, including guest registration, customer inquiries, and volunteer coordination.
- Direct complex issues to the appropriate personnel or management for resolution.
3. Event Marketing & Communication
- Coordinate the creation and distribution of promotional materials for events.
- Review and proofread marketing content to ensure consistency and accuracy.
- Communicate with clients and partners to confirm event details, assess service needs, and provide updates to management.
- Assist in designing visual assets and maintaining content on the department’s website.
4. Staff Supervision & University Representation
- Supervise and schedule a team of part-time, seasonal student employees.
- Represent the University at select events, including those requiring travel, evening, or weekend commitments.
- Ensure all event materials align with University branding and quality standards.
- Perform additional duties as assigned.
Knowledge, Skills, and Abilities (KSAs)
- Strong verbal and written communication skills to engage effectively with customers, stakeholders, and colleagues. Ability to maintain responsiveness, accountability, and professionalism in all interactions.
- Ability to develop creative and practical solutions for event-related challenges, ensuring smooth execution.
- Proficiency in Adobe Creative Suite (Illustrator, Photoshop, InDesign) to create and modify event materials. Ability to develop and deliver marketing and communication materials aligned with branding guidelines.
- Skilled in using project management tools and database applications to track and execute event logistics efficiently. Ability to oversee vendor coordination, outsourcing, and timeline management.
