General Summary

The Events and Engagement Manager is responsible for coordinating and executing events as part of Connecticut Public’s community engagement initiatives. This role requires a self-starter and collaborator who will manage event logistics, communicate well with both internal and external partners and help develop strategies to measure impact, including post-event analysis.

Essential Functions
Our Events and Engagement Manager provides a wide range of services. Applicants must have the ability to complete the following essential functions: 

Event Planning & Management

  • Schedule meetings with internal (Marketing, DSB, Content, Development, Operations, etc.) and external stakeholders (community organizations and partners.)
  • Ensure event details are communicated efficiently to all relevant parties, with a focus on event success which includes ideation and collaboration.
  • Coordinate event logistics including venue selection, catering needs, AV and other vendor requests,
  • Assist with speaker arrangements, including travel, accommodations, and event-related needs.
  • Responsible for day of event logistics such as supplies, set-up, registration, and event breakdown.

 Event Promotion & Communications

  • Oversee the creation and execution of promotional materials for events, ensure alignment with organizational branding and community engagement goals.
  • Work with event partners, event guests, speaker’s bureaus, and publicists to acquire necessary assets and information for promotions. 
  • Coordinate the distribution of event details across various communication channels (on air, social media, newsletters, website, etc.).
  • Collaborate with Marketing, Digital, and Social Media teams to ensure timely event promotion and engagement.

Responsibilities 
This position has many responsibilities.  Duties include, but are not limited to: 

  •  Attend regular meetings with the VP of Community Engagement to review strategy, upcoming events and programming future events.
  • Attend meetings with internal teams and external stakeholders to schedule events and evaluate engagement efforts to inform future event decisions.
  • Help identify and build relationships with community organizations and partners.
  • Ensure proper invoicing and reimbursement procedures are followed.
  • Responsible for event supplies including promotional materials.
  • Assist with vendor relationships, ensuring orders, contracts, and event logistics are handled in a timely and cost-effective manner.
  • Create post-event surveys, review and analyze event feedback, track engagement and attendance data to measure impact.
  • Collaborate with Digital and Membership teams to facilitate post event surveys and follow up communication.
  • Create community calendar posts and Eventbrite registration pages for CT Public events. 
  • Submit requests for videography/photography/audio needs. 
  • Work closely with internal departments on scheduling events that align with community engagement strategy.

Knowledge, Skills, and Abilities 
Knowledge of: 

  • Community organizations or stakeholders in non-profit or adjacent organizations.
  • Event management, marketing, and/or project management.
  • Leading large complex projects, working in a fast-paced environment and handling multiple and changing priorities simultaneously.
  • Microsoft Office applications, including Word, Excel, PowerPoint, Microsoft Project, Smartsheets and Outlook.
  • Navigating complex organizations and making the right connections to drive work forward, while anticipating potential shifts in work.

Skill In:

Work Environment 
Job functions are typically performed in a combination of those found in general office or administrative work.  Position must have the ability to travel to event venues.

Physical Demands 

The physical activities of this position may include frequent in-person or virtual interactions.  It is essential to be able to remain at a desk/computer workstation for prolonged period.  Must have close visual acuity to perform an activity, such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, or extensive reading.  The typical physical requirements are: medium work—exerting up to 25lbs of force occasionally and/or up to 25lbs of force frequently and may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.  Noise levels may vary depending on the event setting.  

Position Type / Expected Hours of Work 
This is a full-time non-exempt position which may include frequent in-person or virtual interactions.    Duties are routinely performed Monday through Friday between the hours of 9:00 a.m. and 5:00 p.m.; however, after-hours event management work is required. The expectation for this job is hybrid but with attendance in-person at events. Travel within the state of Connecticut is required.

Education and Experience
Bachelor's degree in Project Management, Events Management, Marketing, or a closely related field OR a minimum of five (5) years of direct and sustained professional experience in events management or project management/coordination AND/OR any similar combination of education and experience.
